Today, we are introducing Page-Based Sharing – a feature designed to give you total control over exactly what your audience sees.
What is Page-Based Sharing?
In a complex knowledge management tool, your projects often contain a vast tree of information. For example, if you are managing Enterprise Architecture blueprints, you might have one section for “Business Domains” and another for “Technology Domains.”
Previously, sharing meant giving access to the whole tree. Now, with Page-Based Sharing, you can hand-pick specific pages or branches to share. This ensures stakeholders stay focused on the information relevant to them while keeping sensitive or internal-only pages private.
How to Use Page-Based Sharing
Sharing a specific subset of your knowledge base is quick and intuitive. Just follow these steps:
- Enter Share Mode: Click the Share button at the top right corner of the OpenDocs app.

- Select Your Pages: You will enter a selection mode. Simply tick the checkboxes next to the pages in the left-hand tree that you wish to include. Any page left unticked will remain hidden from the recipient.

- Confirm Selection: Once you have chosen your content, click Confirm at the top right.
- Describe Your Share: In the dialog box that appears, enter a short, clear description. This helps you and your readers identify the purpose of the shared link.

- Choose Your Sharing Mode:
- Static Snapshot: Perfect for milestones or archives. This version will not change even if you edit the original pages.
- Live Update: The shared content stays synced with your latest edits in real-time.
- Share and Embed: Click Share to generate your custom URL. You can also copy the Embed Code to display your shared pages directly inside your company’s internal website or blog.
